SUMMARY
Reporting to the Nutrius Plant Manager, the Customer Service Representative position is responsible for assisting customers, handling all incoming and outgoing customer phone calls, taking and processing customer orders, and preparing all invoicing to ensure that orders are filled and invoiced accurately and in a timely manner. This position will handle all order entry and invoicing for Nutrius Kingsburg.

ESSENTIAL FUNCTIONS
Essential and other important responsibilities and duties may include, but are not limited to, the following:
  1. Receive sales orders by phone, ERP system including VMI, and email from house accounts and internal sales team for Nutrius Kingsburg plant
  2. Enter sales orders into the accounting system for Kingsburg
  3. Review and run daily reports of order schedule for production and transportation planning for Kingsburg
  4. Maintain any changes to sales order for Kingsburg
  5. Prepare all invoices for Nutrius plants
  6. Assist in the notification of carrier-related load dispatch
  7. Assist customers, both internal and external, by answering questions and providing information over the telephone, email, and in person regarding customer accounts
  8. Process and match delivery paperwork with customer invoices
  9. Process and match customer invoices and statements to mail
  10. Check, tabulate, and enter data as needed
  11. Run a variety of reports; research and resolve discrepancies related to customers; distribute reports as needed
  12. Perform a variety of general clerical/technical duties including computer data entry, typing, and maintaining files and records
  13. Assist with Department projects
  14. Answer customer phone calls, route calls to the correct recipients, handle the front door and general public, including visitor log compliance.
  15. Maintain filing system; file large amounts of documents accurately and timely
  16. Prepare packages for mailing to corporate office via UPS
  17. Scan invoices and provide support as needed to customers or corporate office
  18. Review prior day’s receipts on inbound deliveries in the accounting system compared to physical documents, and true up accurately.
  19. Open, sort and distribute mail; pick up and or/deliver mail twice per week or as needed

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of:
  • Principles of customer service
  • Proficient in math 
  • Modern office methods, practices, procedures and equipment
  • 10-key proficiency; good data entry skills
  • Computer proficiency including Word, Outlook and Excel!
  • SAP experience
Ability to:
  • Perform procedures in an organized and accurate manner; meet deadlines regularly
  • Build and maintain positive working relationships with co-workers and customers
  • Operate a computer for a variety of applications
  • Communicate effectively with all levels of staff and outside customers
  • Work independently with minimal supervision

Experience and Training Guidelines:
  • One-year customer service experience/exposure
  • Two (2) year degree or equivalent experience
  • Demonstrated strong written and verbal communication and interpersonal skills
  • Strong phone contact handling and active listening skills
